Refund Policy

At CedulaVia, we strive to provide the highest quality Spanish language programs and services. We understand that circumstances may arise that require you to cancel your enrollment or request a refund. This Refund Policy outlines the terms and conditions for refunds and cancellations of our programs and services.

1. Program Cancellations by Student

1.1 Standard Cancellation Policy

Our standard cancellation policy for all Spanish language programs is as follows:

  • 30+ days before program start date: Full refund minus a $100 administrative fee
  • 15-29 days before program start date: 50% refund
  • Less than 15 days before program start date: No refund

All cancellation requests must be submitted in writing to info@cedulavia.com. The date of receipt of the cancellation request will determine the applicable refund policy.

1.2 Special Program Cancellation Policies

Certain specialized programs may have different cancellation policies:

1.2.1 One-on-One Spanish Tutoring Package

  • Before the first scheduled session: Full refund minus a $50 administrative fee
  • After the first session but before 25% of total hours are used: 75% refund
  • After 25% but before 50% of total hours are used: 50% refund
  • After 50% of total hours are used: No refund

1.2.2 Weekend Spanish Crash Course

  • 14+ days before course start date: Full refund minus a $50 administrative fee
  • 7-13 days before course start date: 50% refund
  • Less than 7 days before course start date: No refund

1.3 Group Bookings and Corporate Programs

For group bookings (5 or more students) and corporate programs, the following cancellation policy applies:

  • 60+ days before program start date: Full refund minus a $200 administrative fee
  • 30-59 days before program start date: 75% refund
  • 15-29 days before program start date: 50% refund
  • Less than 15 days before program start date: No refund

2. Program Changes by Student

2.1 Date Changes

If you need to change your program dates, the following conditions apply:

  • 30+ days before program start date: One-time free change, subject to availability
  • 15-29 days before program start date: $50 change fee, subject to availability
  • Less than 15 days before program start date: Treated as a cancellation and new enrollment (standard cancellation policy applies)

2.2 Program Transfers

If you wish to transfer from one program to another, the following conditions apply:

  • 30+ days before program start date: No fee, price difference applies (additional payment required or refund issued)
  • 15-29 days before program start date: $50 transfer fee, plus any price difference
  • Less than 15 days before program start date: Treated as a cancellation and new enrollment (standard cancellation policy applies)

2.3 Transfers to Another Student

If you are unable to attend a program, you may transfer your enrollment to another person under the following conditions:

  • 7+ days before program start date: $50 transfer fee
  • Less than 7 days before program start date: $100 transfer fee

The new student must meet all program requirements and complete all necessary enrollment forms.

3. Program Cancellations or Changes by CedulaVia

3.1 Program Cancellations

If CedulaVia cancels a program for any reason, you will be offered the following options:

  • Full refund of all fees paid
  • Transfer to another program (any price difference will be refunded or charged accordingly)
  • Credit for future use, valid for 18 months from the date of cancellation

3.2 Significant Program Changes

If CedulaVia makes significant changes to a program after your enrollment (such as a change in location or a reduction in program duration), you will be notified as soon as possible and offered the following options:

  • Accept the changes
  • Transfer to another program (any price difference will be refunded or charged accordingly)
  • Cancel your enrollment and receive a full refund

3.3 Minor Program Changes

CedulaVia reserves the right to make minor changes to program content, schedules, or instructors without prior notice. Minor changes do not entitle you to a refund or transfer.

4. Early Departure or Program Interruption

4.1 Voluntary Early Departure

If you choose to leave a program early or do not attend all scheduled sessions, you are not entitled to a refund for unused portions of the program.

4.2 Medical or Emergency Situations

In case of a serious medical condition or family emergency that prevents you from continuing a program, you may be eligible for a partial refund or credit for future use. Documentation of the medical condition or emergency situation is required. Each case will be reviewed individually.

4.3 Dismissal from Program

If you are dismissed from a program due to violation of CedulaVia's code of conduct, illegal activities, or other serious misconduct, you are not entitled to any refund.

5. Force Majeure

CedulaVia is not liable for any failure to perform its obligations if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane, or other natural disaster), war, invasion, civil unrest, pandemic, epidemic, government restrictions, or other events beyond our reasonable control.

In such cases, CedulaVia will work with affected students to provide reasonable alternatives, which may include:

  • Postponing the program to a later date
  • Offering an alternative program or format (such as online instruction)
  • Providing a credit for future use, valid for 18 months

If none of these alternatives is acceptable, a refund may be issued, less any non-recoverable expenses already incurred by CedulaVia on your behalf.

6. Accommodation and Additional Services

6.1 Accommodation Cancellations

For accommodation services booked through CedulaVia (homestays, student apartments, etc.), the following cancellation policy applies:

  • 30+ days before check-in date: Full refund
  • 15-29 days before check-in date: Refund of 75% of accommodation fees
  • 7-14 days before check-in date: Refund of 50% of accommodation fees
  • Less than 7 days before check-in date: No refund

6.2 Additional Services

For additional services booked through CedulaVia (airport transfers, cultural excursions, etc.), the following cancellation policy applies:

  • 7+ days before service date: Full refund
  • 3-6 days before service date: 50% refund
  • Less than 3 days before service date: No refund

7. Refund Process

7.1 Refund Requests

All refund requests must be submitted in writing to info@cedulavia.com and include the following information:

  • Your full name
  • Program name and start date
  • Reason for requesting a refund
  • Any supporting documentation (if applicable)

7.2 Refund Processing Time

Approved refunds will be processed within 30 days of the approval date. Refunds will be issued using the same method of payment used for the original purchase when possible:

  • Credit/Debit Card Payments: Refunded to the same card
  • Bank Transfers: Refunded to the originating bank account
  • Other Payment Methods: We will work with you to determine the most appropriate refund method

7.3 Refund Currency and Fees

Refunds will be issued in the same currency as the original payment. Any currency conversion fees or bank charges associated with the refund will be deducted from the refund amount. CedulaVia is not responsible for any additional fees charged by your bank or credit card company.

8. Non-Refundable Items

The following items are non-refundable under any circumstances:

  • Registration fees
  • Visa application fees or assistance
  • Courier or postal fees
  • Insurance premiums
  • Administrative fees as specified in this policy

9. Special Circumstances

We understand that exceptional circumstances may occur. If you need to cancel or change your program due to circumstances not covered by this policy, please contact us as soon as possible. Special requests will be reviewed on a case-by-case basis.

10. Changes to This Policy

CedulaVia reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. The policy that was in effect at the time of your enrollment will apply to your transaction.
